What to have ready before the first call

Migrations stall on missing access, not on missing video. Gather these eight items before the audit call and the first week is the export, not the chase.

A Vimeo plan that stays paid and stays above its storage cap until the last file is off

Vimeo's article on VOD account downgrades states that if the account lapses to Free or Basic, "You lose access to your videos attached to VOD titles, since most videos are moved to our archive storage for one year after you lapse", VOD titles are unpublished, and previous buyers can no longer access their purchase. Vimeo's lapsing FAQ adds that videos over the new plan's storage cap become "restricted" and that while restricted "The videos cannot be played, edited, or downloaded". The practical prerequisite is budget: keep the Vimeo subscription live through the entire extraction window rather than cancelling it the day you sign with Flicknexs. Vimeo's own account-deletion article makes the same point in reverse — if the goal is only to stop paying, it recommends cancelling the subscription rather than deleting the account, because deletion "will permanently remove your account on Vimeo and all your videos, collections, likes, comments, etc."

A source-file audit, because masters on Vimeo are opt-in and retroactively unrecoverable

Your own payment gateway, and a decision about who is merchant of record

Vimeo's fees article states that "Vimeo is the merchant of record for all VOD transactions" and therefore collects VAT on a VAT-inclusive basis. Vimeo's payout article states that VOD purchases accrue monthly and are paid to PayPal "approximately 30 days after the month's end", that "All VOD payments are made in U.S. dollars" with non-USD sales converted at the day's final exchange rate; the VOD Seller FAQs add that "Vimeo does not support Business PayPal accounts so you must use your Personal PayPal account for payments." Walk every page, record season and episode ordering, promo codes and regional availability, and note where a library has been split because Vimeo's selling guide states a single VOD container can contain up to 600 videos. Vimeo On Demand-specific things to check first

  • The dates are set by Vimeo: no new purchases after September 21, 2026 and full shutdown on November 20, 2026, according to vimeo.com/ondemand/shutdown; work back from those dates so the Flicknexs catalog is selling before the storefront closes.
  • Vimeo says viewers who opted in can be exported as a CSV from the Audience tab and that sales data should be exported from the analytics dashboard before shutdown; take both exports now, because buyer entitlements are not transferred as accounts.
  • Decide what past buyers receive on Flicknexs: a free entitlement to the titles they bought, a coupon, or nothing. Vimeo says buyer access ends on November 20, 2026, so the offer needs to be in their inbox before then.

Even the API route is governed by Vimeo's documented per-minute quotas — Vimeo's rate-limiting guide lists Standard at 250 and Advanced at 750 requests per minute, with HTTP 429 and error code 9000 on breach — and by the Video File `expires` timestamp on each link. The failure mode is arithmetic, not technical: a catalogue sized in the hundreds, pulled serially, consumes calendar. Size the extraction against the real title count on day one.

Meanwhile Vimeo's Viewer FAQ states that active VOD subscriptions "will not auto-renew after September 21, 2026", that subscriptions due to renew after that date "will be cancelled automatically", and that viewers keep access "through your current billing period or until November 20, 2026, whichever comes first" — so your recurring base unwinds on Vimeo's clock while you are still building the new one. Section 6.9 of Vimeo's Seller Addendum adds that "Successful refunds and chargebacks will reduce revenue payable to you, but will not reduce fees payable to Vimeo", and that you must reimburse Vimeo where revenue is insufficient.
